Administrative Assistant - Legal

Cambridge, Cambridgeshire, England (£18k per year + benefits)

Role Outline

The main focus of this role is to provide a high level of integrated business and administrative support to a team of secretaries and legal advisers.

The successful candidate will be highly IT literate, able to pick up a variety of on-line systems and be able to demonstrate excellent organisation skills.

Key Duties

  • Document printing, collating, production and copying of court bundles and scheduling of documents

  • Scanning documents and profiling for e-filing purposes

  • Assisting legal advisers with electronic filing in line with company guidelines

  • Assisting with preparation of training or marketing packs, badges, room set-up, register and meeting and greeting of clients

  • File opening/closing and maintenance in accordance with quality and compliance

  • Maintaining client information

  • Deal with incoming telephone calls in a professional and efficient manner

  • E-filing and paper filing

  • File archiving and retrieval

  • Sorting and circulating daily incoming post and arranging couriers

  • Learning how to use the travel and diary systems

  • General administration (including room bookings, expenses, responding to central and Practice Group initiatives/requests)

  • Preparation and submission of legal advisers’ expense claims

  • Securing receipts and information following client meetings

  • Preparation of other finance forms including monthly billing and submission of such forms to the relevant finance teams

  • Competent use of in-house finance systems to deal with queries / print off reports / submission of such to accounts for processing

  • Demonstrate a wide range of skills including good interpersonal, organisational, verbal and written communication skills

  • Ability to multi task and prioritise workload

  • Have a good understanding of computer packages including PowerPoint and Excel to a level to provide suitably formatted financial data extracted from our key systems
