Job description

We have a fantastic opportunity for an Executive Assistant to work for a highly regarded employer based in Cambridge City Centre. This will be a challenging and dynamic position working in a fast-paced environment, supporting the leadership team in their multi-faceted positions. You will be responsible for implementing and overseeing administrative procedures, providing an excellent standard of administrative support, to ensure the efficient and effective management of time and workflow.

This is a critical and complex role and as such, applicants will need to be able to demonstrate a strong background in supporting at a senior level. You will have excellent organisational skills, with the ability to prioritise a diverse and changing workload to meet deadlines. You will need to be highly competent navigating MS Office and other software programmes and be a confident communicator and relationship builder.

Key Responsibilities:

  • Manage diaries, assess availability, set up a wide range of complex internal and external meetings both in Cambridge and elsewhere. Take administrative decisions on behalf of leadership team in their absence
  • Undertake preliminary research using a wide range of information sources. Read papers from committees and key meetings, prepare briefing notes, and summarise headlines, prepare/draft presentations for committees, attend meetings, prepare agendas, take minutes, circulate actions, identify follow-up actions
  • Manage large-scale events and visits by high profile figures visiting the leadership team. Manage travel arrangements and itineraries
  • Take responsibility for office administration. Co-ordinate administrative processes, liaise closely with staff at all levels to ensure that the work of the leadership team is in line with work undertaken in other parts of the office, maintain a comprehensive filing system including, data management systems for confidential files, committee papers and records, update and amend procedures and processes
  • Support HR related activities such as the recruitment and staff management processes for the office
  • Provide financial administration. Process expenses for the leadership team, raise purchase orders and invoices in line with financial procedures and financial regulations
  • Manage communications with senior members both internally and externally. Liaise by letter, telephone, email, online and in person with senior staff, senior internal and external academics, arrange programmes for visitors
  • Manage projects as required

The successful candidate will be able to demonstrate:

  • Degree level/Level 6 vocational qualifications or equivalent level of practical experience
  • Proven track record of relevant PA, secretarial and administrative experience at a senior level
  • An advanced knowledge of Administration, involving reviewing and developing administrative processes and systems
  • Experience of managing multiple email accounts
  • Experience of arranging and coordinating events
  • Confident handling financial administration
  • Excellent organisational, communication and interpersonal skills
  • Highly competent in standard software packages including MS Office and Adobe
  • Excellent time management and ability to prioritise a diverse and changing workload to meet deadlines
  • Ability to use own initiative and judgement and to be pro-active
