Role Outline

The role holder is responsible for managing the Executive Director’s (ED) working life with specific responsibility for managing a continually shifting diary; prioritising demands; filtering a large e-mail in-box and identifying urgent matters; ensuring that urgent and/or risky issues are dealt with and are followed up when delegated by the ED; managing incoming and outgoing correspondence; arranging meetings inside and outside the University.

Key Duties

  • Manage and co-ordinate the diary of the ED to ensure that time is well-ordered and prioritised, often resolving conflicts or complex timing issues before they become a problem.
  • Proactively assist the ED to prioritise and organise her workload which requires a clear overview of the portfolios of the leadership team, and a detailed understanding of how the University and its Offices work.
  • Manage all incoming and outgoing correspondence, identifying appropriate actions, drafting replies, proof-reading and filing.
  • Manage all travel arrangements for UK and international trips for the ED as required.
  • Plan and coordinate visits from senior colleagues from overseas including travel and itineraries.

Skills & Experience

  • First class organisational skills, ability to prioritise work and monitor progress
  • Excellent secretarial skills including accuracy, good phone manner and diary management skills
  • Confident and proactive with the ability to work using own initiative and judgement
  • Advanced knowledge of PC and software programmes including experience of using a CRM
  • Discretion and diplomacy in dealing with confidential information and sensitive issues
  • Strong interpersonal skills and the confidence to deal with people at every level
  • Excellent written communication skills to draft letters, briefing notes etc.
  • Proven experience at operating at an executive level and of supporting at Director level.
