Role Outline

We are seeking a skilled, professional Secretary, who can work collaboratively with like-minded career focused professionals.

This is a full-time, permanent position working in the City Centre. Please note there is no parking available, but the site is well served by public transport links.

Key responsibilities:

  • Provision of full secretarial, PA and administrative support 

  • Management of emails/correspondence 

  • Providing sound comprehensive financial administrative support to Legal Advisers; ensuring compliance with legal, firm wide and practice group specific policies and procedures

  • Engrossment of documents

  • Preparation of presentations 

  • Dealing and screening calls, delivering a positive client experience 

  • File opening/closing 

  • Paper and electronic filing 

  • Digital dictation

  • Organising internal and external meetings, to include coordinating reports and agendas

  • Organising extensive travel, business trips, itineraries, events and diaries

  • Make good use of all technology

Skills and experience:

  • Experience in Real Estate working for a variety level of fee earners

  • Experience of providing secretarial support to fee earners 

  • Experience in diary management and travel arrangements

  • Demonstrates confidence in own ability and anticipates what is needed 

  • Demonstrates flexibility and ability to use own initiative 

  • Develops good working relationships within the team, takes account of others’ workloads when working together and offers help 

Key competencies:

  • Highly motivated, accurate and works well under pressure 

  • Ability to multitask and prioritise workload 

  • Has a “can do” attitude and a flexible approach to a wide variety of tasks 

  • Excellent IT skills 

  • Ability to learn new systems and adopt new responsibilities when required 

  • Acts in a responsible manner and is discreet and confidential at all times 

  • Ability to hit the ground running and learn tasks and responsibilities quickly 

  • Demonstrates a wide range of skills, including excellent interpersonal and organisational skills 

  • Anticipates what is needed and takes appropriate action 

  • Understands which course of action or option would be most appropriate in a given situation
