Role Outline

A fantastic part-time opportunity has arisen, if you are looking for a varied and interesting role, then we can recommend this opportunity to you! The ideal candidate will need to be able to prioritise and manage their time affectively, possess strong communication skills and be able to coordinate the administration process between suppliers with ease and effectiveness.

Key Duties

Reprints and other stock management task

  • Check the weekly reprints list and flag anything with low stock
  • Keep on top of the Reprints due list, order reprints as they come in
  • Submit PoD titles to Lightning Source and Amazon
  • Ensure the right amount of stock is in each warehouse according to demand
  • Answer stock queries
  • Check that all reprints and transfers arrive on time


  • Request epubs and epdfs from the typesetter
  • Request the RFC email from Wiley
  • Load the ebook files to the Wiley ftp
  • Check to see that ebooks are available on Google Books and Kobo, follow up with Wiley if they aren’t


  • Solicit endorsements from the list of academics made by editorial, making sure deadlines are met and that the endorsements are suitable
  • Compile all material for the back panel, have it copyedited and then approved by the author and editor
  • Check endorser addresses so that complimentary books can be sent to them

Library of Congress

  • Submit data for each book via their website and input the data block to Pepper once received

Cover uploads

  • Use Photoshop to convert front cover visuals to the correct file formats
  • Load said files to the Wiley ftp

New in Paperback books

  • Oversee the production process for NiPs books, including any updates to the cover design and text, special requests with the printer, adhering to deadlines and deciding on print numbers according to the margin


  • Contact authors and send to them the first advance copy of their book
  • Order complimentary copies as needed for author contract copies, endorsers, and permissions

Skills & Experience

  • High levels of organization
  • Meticulous eye for detail
  • To be able to work calmly under pressure
  • Good communication skills, written and verbal
  • Good numeracy
  • To work well as part of a small team
  • To be able to prioritize from a large workload
  • Familiarity with Filemaker Pro an advantage, but not essential as full training will be given
