Job description

This is a senior supporting role, working closely with Directors to provide support across three clinical academic programmes. The role holder will be required to manage a varied and complex workload, to include overseeing recruitment processes, acting as Secretary for working groups, assisting with bid submissions, monitoring finance, developing information and support for trainees, updating website pages and social media channels and delivering events.

The success of the programmes is reliant on good relationships between internal staff, external funders, partner organisations and colleagues at all levels and a key part of this role will be managing these complex relationships.

The role also has line management responsibility for the Programmes Administrator who, with this post, comprise the main support for the clinical academic programmes.

Key Responsibilities:

Programme Management

  • Act as a first point of contact in relation to clinical academic queries from a variety of internal and external sources
  • Plan the annual recruitment cycle and tasks to ensure they are in line with national timeframes and guidelines
  • Manage national and locally funded recruitment to the programmes. This involves managing the approvals process, drafting paperwork, arranging multiple interview panels, advising departments of appointments, managing re-advertising
  • Ensure all relevant parties are kept up to date and records accurately reflect the appointments made
  • Provide administrative support to the Head and Programme Directors in respect of funding bids
  • Provide support to other clinical academic programmes as required
  • Act as Secretary to a number of programme working groups


  • Maintain and develop records to track current trainees
  • Maintain and develop records to record onward and subsequent destinations, and awards of past trainees
  • Reconcile Quarterly Returns for submission to external bodies
  • Prepare status and annual reports as required.
  • Accurately oversee the maintenance of records to identify and monitor all funded students on site, including their research outputs for accurate reporting


  • Oversee trainee and programme expenditure within agreed limits

Training Events

  • Oversee the organisation and expenditure of training events and seminars

The successful candidate will be able to demonstrate:

  • Educated to A-level or equivalent level of practical experience
  • Demonstrate advanced knowledge of administration and secretarial support
  • Ability to analyse data and prepare reports
  • Knowledge of recruitment
  • Highly competent in standard software packages including MS Office (Word, Excel, Outlook, SharePoint, Access)
  • Confident using virtual communication platforms including Zoom and Teams
  • Excellent organisational skills
  • Excellent communication and interpersonal skills, with the ability to work with internal and external personnel
  • Strong liaison and networking skills
  • Excellent time management and ability to prioritise a diverse and changing workload
  • Ability to use own initiative and judgement and to be pro-active
  • Ability to work under pressure and meet deadlines
