Our client is looking for a full time permanent Receptionist and Project Secretary.

The role will be a 50/50 divide between the reception duties and project administration.

Reporting to the Practice Manager, you will work closely with the Directors, Associates and their project teams in Cambridge to ensure that these are fully supported with regards to project administration

You will need to demonstrate excellent communication skills and lots of common sense! 

Our client are looking for an energetic individual who exudes a warm personality. Ideally a junior level candidate with 1 years experience in an office environment. You will be independent, methodical and able to multi-task; however the company will provide training to develop the candidate in Office packages. 

 

Key Duties

ADMINISTRATION

  • Answer phones, meeting and greeting
  • Manage general incoming emails; deleting or forwarding as required
  • Deal with in-coming and out-going post
  • Distribute all courier and other deliveries
  • Ensure that meetings are properly managed within the meeting room diaries, and that catering, refreshments are organised
  • Organise couriers, taxis and travel
  • Arrange seminars
  • Liaise with contractors and suppliers
  • Carrying out weekly fire alarm tests
  • Help to organise staff events
  • Respond to speculative CVs and job applications, arrange interviews and feedback responses to candidates

PROJECT ADMINISTRATION

  • Provide organisational and administrative support to the project teams
  • Produce project-related documents
  • Document control duties
  • Maintain drawing files
  • Print and bind drawings/documents
  • Regular project-related filing
  • Assist Practice Manager with identifying and organising documents for external archiving
  • Provide support/back-up to other members of the admin team when required
  • Regular liaison with Practice and Finance Managers

Skills and Experience

  • Microsoft Word and Excel (intermediate)
  • InDesign/Photoshop (basic/intermediate)
  • Typing speed – 40wpm minimum
  • Be energetic, enthusiastic and self-motivated
  • Be smart, presentable and always reflect
  • Be able to talk with confidence and authority to visitors, as well as both senior and junior members of staff – face to face and on the telephone
  • Can undertake a diverse range of tasks
  • Work well with others, especially other members of the admin team
  • Be reliable and punctual
  • Attention to detail
