Role Outline

To provide an efficient, friendly and professional service to all callers, both in telephone and in person, made to the company as well as comprehensive administrative support to ensure effective and efficient operations and contribute to an excellent client service.

Key Duties


  • Answer incoming telephone calls, transferring them or taking messages as necessary
  • Welcome personal callers to the Company and deal with the reason for their visit
  • Ensure that the reception area is kept tidy with sufficient stocks of brochures, etc.
  • Open up meeting rooms and check diaries for meetings and lunches for the day
  • Book meeting rooms and ensure refreshments are provided
  • Book car spaces and taxis according to Company practice
  • Run contract notes as required and distribute to the Investment Managers


  • Provide holiday/lunchtime cover for the Reception as required
  • Open and distribute incoming post
  • Answer incoming telephone calls, answering enquiries, taking messages
  • Maintain manager/team’s diary, including arranging meetings and organising travel
  • Provide support to other departmental administration and staff as required
  • Assist with Client Account Opening
  • Maintenance of client Static Data
  • Process cheque receipts
  • Assist with organisation and implementation of client events

Skills & Experience

  • Grades A-C at GCSE English and Maths. A good working knowledge of Microsoft systems.
  • Experience of telephony, meeting and greeting of clients, and administration experience
  • Experience of working on a busy switchboard – experience of screen based systems is essential
  • High standard of communication, grammar, accuracy and attention to detail
