Role overview

Our client is looking for an organised and pro-active individual that will be responsible for the smooth running of their admissions process. This role is vital to the school as you will be the first point of contact for parents and pupils during their school life, so you must have a personable and friendly manner, be highly organised and strive to ensure that enquiries are dealt with swiftly and with the utmost care and attention.

Key Duties

General Duties

  • Assist in the implementation of any decisions made by the management team
  • Implementation of the Health and Safety Policy within the setting
  • Liaise with the management, informing them of any important matters concerning the school
  • To attend meetings as required including those outside normal working hours

Responsibilities as Registrar:

  • To provide effective and efficient management of enquiries from prospective parents
  • To put together and send out prospectuses
  • Record prospective parents’ details and the source of their enquiry
  • Arrange tours of the school and ensure that these are in the school diary
  • To conduct tours of the school for prospective parents including answering questions on teaching and the curriculum
  • To liaise with the head regarding occasional or unusual enquiries
  • To meet and greet prospective parents and debrief on departure
  • To keep records and forward planners up to date and produce information in formats as requested by the head and directors
  • To ensure appropriate historical data is recorded and saved on the school’s computer network for the headmistress and school’s owners
  • To maintain up-to-date records of all applications as required
  • To correlate registrations and confirmations
  • To ensure that prospective parents understand the registration and admissions processes, and that they are advised of our terms and conditions
  • To assist parents to contact our uniform suppliers
  • To keep prospective parents up-to-date with the progress of their applications and informed about school events and news; maintaining contact with parents cultivating their interest and including them in the school community, through personal contact and sending out school newsletters and the like.
  • To ensure that admissions procedures are correct on the school’s website
  • To check and update our listings on other websites e.g. Gabbitas, IBSI, Independent Schools Directory, etc
  • To ensure that there are always adequate supplies of all prospectus documents
  • To ensure that all documents sent out to parents are up-to-date and well presented
  • To receive application cheques and forms and forward as required; to receive ‘parent’s declaration at time of registration’ forms
  • To write letters acknowledging receipt of application forms and cheques, offering places and requesting administration fee
  • To inform interested parties as per the admission procedure
  • To advise headmistress and accounts if parents decide not to take up an offered place
  • If registration process is completed well in advance of start date, to write to parents one term before due start date confirming place
  • To ensure that all new children are entered in the admissions register / database
  • To maintain a file for each child containing all relevant documentation
  • To ensure that all leavers are noted in the admissions register
  • To record numbers of leavers and their destinations / reasons for leaving
  • To update records as required e.g. new addresses, phone numbers, marital status of parents, etc.
  • To complete all requests for pupil numbers

  • Computer literacy and competence in all applications of MS Office
  • Attention to detail, accurate and can work confidentially with discretion
  • Customer service and personable approach
  • Ability to adhere to confidentiality at all times
