Role Outline

Having recruited for this client recently, we are now seeking a Science Administrator with significant experience in providing secretarial  duties for committees. You need to have extensive expertise in note taking, writing minutes and managing action logs, with additional duties to include arranging meeting rooms and catering, collating and distributing materials and paperwork.

In addition, the post holder will be required to provide administrative support to scientists within the research buildings. Key aspects of the role include assisting with the organisation of meetings, conferences and seminars; room, taxi and visitor bookings and arranging hospitality.

The post holder will also be required to assist in other administrative duties on an ad hoc basis, including providing assistance in the Director’s Office.

Key Duties

  • Secretarial duties for Institute committees
  • Arranging meetings / conferences
  • Room booking for internal meetings
  • Book taxis for staff and visitors
  • Manage visitor bookings
  • Organise hospitality for meetings
  • Oversee various building tasks, including distributing the post
  • Booking fleet cars
  • Updating driving licence details
  • Various adhoc administration tasks as directed by the Seminar Manager/Administrator
  • Ad hoc personal assistant duties for the Director

Person Specification:

  • Experience of full and bullet point minute taking
  • Excellent administration skills
  • Experience of supporting senior people simultaneously
  • Fluent English speaker
  • Good organisation and time management skills
  • Excellent interpersonal and communication skills
  • Computer literacy and competence in all applications of MS Office
  • Attention to detail, accurate and can work confidentially with discretion
  • Be able to solve routine problems and be able to make independent decisions
  • Self-motivated and adaptable to change
  • Empathy of the life sciences work of the organisation
  • Awareness and understanding of the benefits of working in an equal and diverse workplace
