Role Outline

To support the Director with all itineraries, diary management and travel arrangements.

Key Duties

  • Support the Director in the management of their diary in respect of meetings
  • Manage itineraries and travel bookings for International Development Trips
  • Manage international meeting programme; contacting organisations in countries and organising appropriate event to promote understanding of the organisation
  • Support Director and Board Members, in the development of letters and other materials in respect of international and major prospects
  • Support the Director in managing the weekly Development Team meeting in respect of agenda and any papers, and in co-ordinating the holiday and other leave requirements for all team members
  • Work on occasional projects as directed by the Director


Knowledge & Experience

  • Experience of organisational and diary management, a diplomatic and persuasive telephone manner and ability to arrange meetings with senior corporate and HNW individuals, and excellent written and spoken English
  • Knowledge of fundraising
  • Experience of working in a fundraising environment OR in an accounting environment with fundraising experience and willingness to adapt skills OR at a senior PA level in a corporate environment working to 1 or 2 Directors
  • Able to demonstrate a good grasp of modern office administrative procedures and awareness of opportunities to apply new technology
  • Highly IT literate and either already familiar with databases or likely to attain competence in a very short time. Ability to manage data and create reports from databases
  • Experience of organising events at a senior level including working to an approved programme and budget
  • Knowledge of implementing the marketing and communications aspects in relation to Anniversary events

Skills & Abilities

  • Good Communication skills and ability to liaise closely with staff in other teams
  • Good standard of numeracy and the ability to apply that to basic accounting concepts, excellent analytical skills
  • High level of attention to detail and accuracy
  • Demonstrable word-processing/spreadsheet management and data analytics skills
  • Ability to work without detailed supervision but able to maintain detailed donations data with the highest standards of integrity
  • Ability to maintain confidentiality of information
  • Wholly sympathetic to the importance of fundraising
